# Manage and Use App Profiles

Learn how to use the PASCOM App profiles.

🖥️ + 📱 Desktop & Mobile

## Training Video

{% embed url="<https://www.youtube.com/watch?v=2fR5q643bZc>" %}

## Overview

App profiles are a powerful tool to link your presence status with actions that allow you to fully manage how and when you receive calls. This way, the PASCOM App can be customized for any situation with just one mouse click.

![App Profile Overview](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-2b99bf8a0dda367e4e9505d1e9f2e35d454f3ae3%2Fclientprofiles-overview.en.png?alt=media)

1. For example, you often switch between your office and your home office and you may want your devices to behave differently when you call in the office than in your home office.
2. You would like to be reachable e.g. in meetings only for emergencies via the PASCOM Mobile App.
3. You do not want to be disturbed at all during coffee breaks and also log off at queues at the same time.

These are just a few examples and ideas that can be implemented with App Profiles.

## Link presence status with actions

So how does this work exactly? You have already learned about the presence status in the [Profile and contact list](/en/user/pascom-app-userguide/contactlist.md) tutorial.

![own presence status](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-17aa9180b9f480b9c4d7223944c4a0ebf8a51c2d%2Fstatus.en.png?alt=media) *Own presence status visible to all colleagues*

The presence status can now be linked to actions via the App settings, meaning that by changing your client profile, it is possible to simultaneously keep your colleagues informed abd also trigger a range of preconfigured actions to control your devices, team members and more.

{% hint style="success" %}
Actions linked to the presence status are stored in profiles and executed with a mouse click each time you switch.
{% endhint %}

### Profile Settings

1. The **Profile Settings** can be found in the **App Settings**.

![Open Client Settings](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-c4a4bcf8655b2611f171482cd10614fb8b2e4052%2Fopen_clientsettings.jpg?alt=media)

2. In the **profile settings** you can manage and customise your profiles.

![Client Profile system-wide](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-469cae06ffc561974a670b2001a6952122bbee11%2Fclientprofiles-system.en.png?alt=media)

By default, you will find two system-wide profiles in the profile settings overview, which are predefined for all users. The action set configured for each profile ensures that either all devices are accessible or deactivated.

{% hint style="info" %}
System-wide profiles can be recognised by the fact that they cannot be deleted as a user. The administrator manages these profiles on the server side and they are predefined for all users.
{% endhint %}

### Add new profile

To create a new profile click on the **Add profile** button.

![Create a new profile](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-31d24d594ff96d18b4aa116e2efaf405d16f4247%2Fclientprofiles-create.en.png?alt=media)

Next, the profile configuration window will appear. You can use this window to add a profile which changes your presence status and link this change to a set of actions that you want to enable/disable each time the profile is enabled/disabled.

![configurate profiles](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-1bbbb62bf74a6a12e939cd86aaaf4267094c0a1a%2Fclientprofiles-configuration.en.png?alt=media)

### Set presence status

First of all, think about the name of the profile. It is important to know that the **profile name** is also used to signify your **presence status** to your colleagues. Therefore, it is important to first determine what you want to say to your colleagues with the profile i.e. **"In a meeting"**, **"On Holiday"** or **"Working From Home"** etc.

1. Assign profile name.

![assign a profile name](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-2ffd770cc61e169b3943a91a3e797bb70d37432d%2Fclientprofiles-profilename.en.png?alt=media) *Assign as profile name e.g. Office, Home Office, Break etc.*

2. Colour, symbol and visibility

Choose an appropriate icon and colour for your profile name. There are a number of icons and colours to choose from, so you should be able to find the most appropriate combination. Additionally, you can decide whether or not you want to make the profile icon visible to your colleagues.

You have complete freedom in when choosing the icon and colour combination. However, it is widely recognised that choosing the colour **green** for profiles in which you are reachable is generally considered a best practice. On the other hand, for profiles in which you do not want to be disturbed choosing **red** is the most suitable.

\*For example: Your **Home Office** profile could have the symbol: **"House"** and the colour **"green"**. \*

### Sticky Profile - pin your profile

With the **Sticky Profile** setting, app profiles cannot be automatically overridden by triggers.

**Example:**

You switch to a profile **Sick**, which should remain active for the next few days. Now you still have a profile that automatically switches to the **Lunchtime** profile every day at 12 o'clock using a **Time trigger**. A **sticky profile** can thus not be overridden, which makes sense in this example.

### Define New Actions

In the following section you define actions which are to be performed when switching to the profile. A profile has **two action triggers**, each of which can contain its own action chains.

1. actions that will be executed once the **profile has been activated.**
2. actions, which are executed as soon as the **profile is exited.**

![action triggers](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-b652dd490a68b98d57276edb28823fcb93eb7f99%2Fclientprofiles-setactions.en.png?alt=media)

The **Add action** button takes you to the action overview and allows you to define a new action.

### Action - Change FollowMe

With the action **Change FollowMe**, you determine the behavior of your endpoints when switching profiles. The FollowMe settings can be applied to **"All "** devices, or only to a specific family of devices.

![Action FollowMe](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-cdca9bbd5096ec83e9f672eb56efd9db74ecd7d5%2Fclientprofiles-followme.en.png?alt=media)

### Action - Set GSM mode

With the action **Set GSM Mode**, you can permanently enable the GSM fallback of your mobile devices.

![Action GSM Modus](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-be2ec94a33657b3702d0afdb10bcd03ff1ee3d56%2Fclientprofiles-gsm.en.png?alt=media)

| Activate/deactivate GSM mode for all my mobile phones | activate / deactivate |

### Action - Logging in, logging out and pausing in teams

The following Team Management actions allow you to log in, log out, or pause call queue membership when switching your profiles.

1. Action - Team-Login

![Action Team Login](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-366ffc4866fa0724eaf845bc1323af184279ba88%2Fclientprofiles-teamlogin.en.png?alt=media)

1. Action - Team-Logout

| Setting       | Description                                  |
| ------------- | -------------------------------------------- |
| All Teams | Activate / deactivate (opens dropdown menue) |
| Dropdown Menu | Select a single team for the action |

### Action - Set or remove location

With the action for locations you can set or remove locations by switching your profile. This makes sense if you use a location with a permanently configured setup in the office and do not need this setup in the home office.

1. Action - Set Location

![Action set workplace](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-e8cc2d6f6db8605aa41858d6d6f24fde5646d5aa%2Fclientprofiles-setlocation.en.png?alt=media)

1. Action - Remove Location

![Action no workspace](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-66a44bcc0c5b106adc1ac6cdf034aa3ed8b2ef9d%2Fclientprofiles-removelocation.en.png?alt=media)

| Setting         | Description                   |
| --------------- | ----------------------------- |
| target location | Set a location from the list. |

*Action - No location, logs you off from the current location.*

### Action - Set or remove redirect number

With the action for call forwarding, you can redirect calls to an internal or external call number by switching your profile. This makes sense if, for example, calls are to be processed in your absence.

1. Action - Set redirect number

<figure><img src="https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-85f9323ae8eba61cb74845f6710f1bd62f464cd2%2Fclientprofiles-setredirect.en.png?alt=media" alt="action redirect number" width="50%"><figcaption></figcaption></figure>

1. Action - Unset redirection

<figure><img src="https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-234d9716fdd3ced00166de7ba31a3ecaee6cb49c%2Fclientprofiles-removeredirect.en.png?alt=media" alt="Unset redirection" width="50%"><figcaption></figcaption></figure>

| Setting                           | Description                                  |
| --------------------------------- | -------------------------------------------- |
| Set a redirection to given target | Add new call redirection or use a recent one |

*Action - unset redirection, removes the redirect number*

### Chain Actions

In a profile, it is possible to chain several actions together. In this way, profiles can be highly adapted to match your own way of working. In the following example, we create a home office profile that triggers the defined actions one after the other when activated.

![Action chain Home Office Profile](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-145dbddb1d439e16a057981040f0310d9cde7b09%2Fclientprofiles-homeoffice.en.png?alt=media)

**What happens when I switch to thise Home Office profile?**

1. First, the user is logged out of his current workspace.
2. A new workspace is then defined.
3. Then the FollowMe settings for the **softphone** are adjusted.
4. Finally, FollowMe settings for the mobile device are adjusted again so that only internal calls ring through.

{% hint style="success" %}
You will notice from the example that the actions are performed one after the other. From top to bottom. To influence the hierarchy of actions, use the **direction arrows**.
{% endhint %}

### Trigger - Use automation

With **triggers** you can automate the change to different profiles as far as possible.

Add an automatic trigger to your current profile via the **Trigger** tab.

![Use Trigger](https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-8f8007b8390d36b0901a5f21aab11816bce8f95d%2Fclientprofiles-trigger.en.png?alt=media)

### Trigger - Set a time trigger

With the **time trigger** you can automate the change between profiles at certain times. For example, you can automatically switch to a **lunch profile** every day at 12:00.

<figure><img src="https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-c2b829f8132cc120ae20c365fb80b23258aed711%2Fclientprofiles-timetrigger.en.png?alt=media" alt="Time Trigger" width="50%"><figcaption></figcaption></figure>

| Setting | Description                                                       |
| ------- | ----------------------------------------------------------------- |
| Time | At what time should the trigger be released. |
| Repeat | On which days should the trigger be repeated at the defined time. |

*Unset time trigger - time trigger can be temporarily disabled or completely deleted.*

### Trigger - Microsoft Teams Meeting

<figure><img src="https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-fc6028083de916d12283285640fb0d846dd24f07%2Fpascom-ms-teams-logo.png?alt=media" alt="MS-Teams Trigger" width="40%"><figcaption></figcaption></figure>

The **Microsoft Teams Meeting Trigger** automatically detects when you start a phone call or video conference via **Microsoft Teams** and then switches to a profile e.g. **Teams Meeting**.

{% embed url="<https://www.youtube.com/watch?v=IItEFcCEJeI>" %}

The synchronization usually takes between **05 and 10 seconds** until the presence status in the PASCOM App switches.

{% hint style="info" %}
You should **pin** (sticky profile) a **profile** with the **Mircosoft Teams Meeting trigger** so that it cannot be automatically overridden by other profiles during your Teams meeting.
{% endhint %}

After a **Teams meeting**, your presence status automatically jumps back to the previously used profile.

<figure><img src="https://2713225-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FVIw0BpSv358R2Pr2HflD%2Fuploads%2Fgit-blob-f994f5056e2b4b2e34869408ade538d07e98bebc%2Fclientprofiles-msteamstrigger.en.png?alt=media" alt="MS Teams Trigger" width="50%"><figcaption></figcaption></figure>

| Setting               | Description                                                   |
| --------------------- | ------------------------------------------------------------- |
| No settings available | The Microsoft Teams meeting trigger is already preconfigured. |

*Remove Microsoft Teams Meeting Trigger - The trigger can be temporarily disabled or completely deleted.*

{% hint style="warning" %}
The **Mircosoft Teams Meeting Trigger** only works if the **Microsoft 365 Status Connector** has been set up on the PASCOM cloud phone system. If you see an error message, please refer to your administrator.
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.pascom.net/en/user/pascom-app-userguide/client-profiles.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `build a script that syncs our docs to a CMS` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
